Job Description: Bookkeeper/Office Manager

Overview

Whats In The Bowl Enterprises and Foodynamics are seeking an experienced and detail-oriented Bookkeeper/Office Manager to manage the daily accounting tasks associated with accounts receivable and payable and to oversee office management functions. Additionally, this role will provide administrative support to the CEO and COO. This position is vital for maintaining the financial integrity and operational effectiveness of both companies. The successful candidate will be responsible for ensuring accurate and timely processing of transactions and financial records, ensuring the smooth operation of the office, and supporting executive leadership.

Key Responsibilities:

Accounting and Financial Management:

– Manage daily accounting tasks, including accounts receivable and payable, ensuring accuracy and timeliness in reporting.

– Record and verify financial transactions, ensuring compliance with financial policies and procedures.

– Prepare invoices, process payments, and track company expenditures over time.

– Maintain accurate financial records and prepare monthly, quarterly, and annual financial statements.

– Reconcile bank accounts and resolve discrepancies in financial reports.

– Assist with budget preparation and financial forecasting.

– Ensure compliance with federal, state, and local legal requirements by studying existing and new legislation, enforcing adherence to requirements, and advising management on needed actions.

– Collaborate with the finance team to implement and improve financial systems and controls.

– Provide regular reports and updates to management regarding the financial status of the company.

Office Management:

– Oversee day-to-day office operations to ensure the smooth functioning of all administrative activities.

– Manage office supplies inventory, order supplies as needed, and ensure the office is adequately stocked.

– Coordinate maintenance and repair of office equipment, including computers, printers, and other devices.

– Assist in the planning and execution of company events, meetings, and conferences.

– Handle correspondence, phone calls, and emails, ensuring prompt and professional responses.

– Manage office filing systems, both physical and electronic, to ensure documents are organized and easily accessible.

– Supervise and support administrative staff, including delegating tasks and providing guidance.

– Develop and implement office policies and procedures to improve efficiency and effectiveness.

– Ensure a clean, organized, and professional office environment.

Administrative Support to CEO and COO:

– Provide comprehensive administrative support to the CEO and COO, including managing calendars, scheduling meetings, and coordinating travel arrangements.

– Prepare and edit correspondence, reports, presentations, and other documents as requested.

– Assist in the preparation of meeting agendas, take minutes, and follow up on action items.

– Manage confidential and sensitive information with discretion and professionalism.

– Coordinate and prioritize the executive team’s daily activities, ensuring efficient use of their time.

– Serve as a liaison between the executive team and other staff, stakeholders, and external partners.

– Handle special projects and assignments as directed by the CEO and COO.

Qualifications:

– Proven experience as a bookkeeper, with a strong focus on accounts receivable and payable.

– Advanced proficiency in QuickBooks Online and other financial management software.

– Strong understanding of accounting principles and financial reporting.

– Excellent organizational and time-management skills.

– Ability to handle sensitive financial information confidentially.

– Strong communication skills, both written and verbal.

– Detail-oriented with an aptitude for problem-solving.

– Previous experience in office management or administrative roles is highly desirable.

– Proven experience providing administrative support to senior executives.
